What personal data do we process?

The personal data we process depends on how you use our website and services.

Information You Provide
When you contact us, fill out a form, submit an event, sign up for newsletters or use other services on the website, we may process information such as your name, e-mail address, telephone number, company or organisation and other information you choose to send us.

Information about the use of the website
When you visit visitnarvik.com, technical information may be collected through cookies and similar technologies.

Depending on the choices and consents you have made, this may include, among other things, your IP address, browser type, device type, which pages you visit, traffic source, approximate geographic area, and information about how the website is used.

Booking of accommodation, activities and other services

Visit Narvik uses Citybreak™ Information & Reservation System as a booking system for the sale and administration of accommodation, activities, tickets and other services.

When you make a booking through Visit Narvik, we process personal data that is necessary to register, administer and complete the booking. This may include, but is not limited to, your name, address, email address, telephone number, information about your booking and travel companions, as well as other information you provide to us in connection with your booking.

The information is used to register and confirm the order, administer the purchase and the ordered service, handle any changes or cancellations, send necessary information before, during and after the delivery and assist you if questions arise related to the order.

Processing of personal data that is actually necessary for the performance of a service you have ordered may be based on the fact that the processing is necessary to enter into or fulfil an agreement with you. Certain information may also need to be processed in order to comply with legal obligations.

Payment

Payment of bookings through Visit Narvik is carried out via Nets.

Card information is only handled in Nets' payment environment. Visit Narvik does not store card numbers or other complete card information in its own systems.

Visit Narvik stores the contact information provided in connection with the purchase process in accordance with the storage period described below.

Sharing of information when booking

When you book accommodation, an activity or another service provided by a business partner, necessary personal and booking information may be shared with the provider who will provide the service in question.

This is necessary for the Supplier to be able to receive and administer your order, prepare the delivery, contact you if necessary and carry out the service you have ordered.

Visit Narvik also uses technical suppliers in connection with, among other things, booking and payment. This includes Citybreak™ Information & Reservation System as a booking system and Nets as a payment solution.

Depending on the processing in question, external companies may process personal data on behalf of Visit Narvik or be independent data controllers for certain parts of the processing.

We do not share more personal information than is necessary for the purpose in question.

Allergies, health information and need for facilitation

In connection with some bookings, you can provide information about, for example, allergies, disabilities or other needs for adaptation.

Such information may be regarded as health information and thus as special categories of personal data. If Visit Narvik processes such information, there must be both an ordinary basis for processing and a special basis for processing this type of information.

The data is only processed when it is necessary for the purpose in question and is only shared with parties who need it to be able to carry out the ordered service or provide the necessary facilitation.

Basis for processing

Visit Narvik processes personal data on different processing grounds, depending on the purpose of the processing.

When you order a service, the processing will normally be necessary to enter into or fulfil the agreement with you. Certain information may be processed because Visit Narvik has a legal obligation. In other cases, the processing may be based on a legitimate interest, provided that the conditions for this are met.

When the processing requires consent, for example when signing up for newsletters or using non-necessary cookies, we ask for this before the processing is carried out. You can withdraw consent at any time.

Cookies and Cookiebot

Visitnarvik.com use cookies, also called cookies, and similar technologies. Cookies can be used, among other things, to make the website work, remember the user's choices, analyze the use of the website and, if you consent, for marketing.

We use Cookiebot to collect and manage consent to cookies. When you visit the website, you can choose which categories of cookies you want to allow.

On visitnarvik.com, cookies are divided into the following categories:

Cookies that are necessary for the website and basic functions to work.

Cookies and similar technologies that are strictly necessary to provide a service that the user has explicitly requested may be subject to exceptions to the requirement for consent.

Cookies that help us understand how visitors use the website, such as which pages are visited and how users navigate the website.

For cookies and tracking technologies that require consent, we collect this through Cookiebot before the technologies are used. Following the changes in Norwegian regulations that came into force on 1 January 2025, consent to cookies and similar tracking technologies must meet the requirements for valid consent under the data protection regulations.

Tapping on the paperclip icon in the bottom left corner of the website opens Cookiebot, where you can view and change your choices.

Newsletters and marketing

If you sign up for Visit Narvik's newsletter, we process your email address and any other information you provide us in connection with the registration in order to be able to send you news, inspiration and relevant information from Visit Narvik.

Where the processing is based on consent, you can withdraw your consent at any time by using the unsubscribe link at the bottom of the emails or by contacting us at [email protected]. The withdrawal of consent does not affect the lawfulness of the processing that took place before the consent was withdrawn.

Order confirmations, information about changes, practical information and other communications necessary to complete a service you have booked are communications related to the booking and are not the same as newsletters or general marketing.

Other inquiries and forms

When you send us an enquiry through the website, by e-mail or through a form, we use the information you provide to us in order to process and respond to the enquiry.

This applies to, among other things, contact forms, requests, submission of events and other communication with Visit Narvik.

We ask that you do not send sensitive personal information through ordinary contact forms or e-mail unless it is necessary.

Sharing of personal data

Visit Narvik does not share personal information with others unless there is a valid purpose and legal basis for the sharing.

Personal data may be shared with suppliers of activities, accommodation or other services you have booked, Citybreak and other technical suppliers related to the booking solution, Nets in connection with payment, suppliers who assist with the operation and development of the website, suppliers of analysis, communication and marketing services when this is permitted, and public authorities if Visit Narvik is legally obliged to disclose the information.

When an external supplier processes personal data on behalf of Visit Narvik, we set requirements for how the data is to be processed and secured.

Transfer of personal data outside the EEA

If personal data is transferred to or made available to recipients outside the European Economic Area (EEA), the transfer shall take place in accordance with applicable data protection regulations and with a valid transfer basis.

Storage of personal data

Visit Narvik stores personal data only for as long as it is necessary for the purpose for which the data was collected, or as long as we are legally obliged to store it.

Contact information provided in connection with the purchase process is stored for 720 days. After 720 days, the personal data is anonymised in our systems.

Once the data has been anonymised, it can no longer be linked to you as an individual. Anonymised information can still be used for statistics and reporting, for example.

Card numbers and other complete card details are not stored by Visit Narvik, but are only handled in Nets' payment environment.

Other personal data is stored for as long as it is necessary for the purpose in question. Data processed on the basis of consent, for example in connection with newsletters, is processed until the consent is withdrawn or the data is no longer necessary for the purpose.

Information security

Visit Narvik strives to protect personal information against unauthorized access, alteration, loss, destruction and misuse through appropriate technical and organizational security measures.

Access to personal data is limited to employees, partners and suppliers who need the data to perform their tasks.

Your rights

When Visit Narvik processes personal data about you, you may, according to the privacy regulations, have the right to, among other things:

• information about how your personal data is processed
• access to the personal data we have registered about you
• Correction of incorrect or incomplete information
• Deletion when the conditions for this are met
• Restriction of processing
• to object to certain forms of treatment;
• data portability where the conditions for this are met
• withdrawing consent when the processing is based on consent
• to complain to the Norwegian Data Protection Authority if you believe your personal data is being processed in violation of the data protection regulations

The rights that apply depend, among other things, on the basis for the processing and the processing in question.

The right to erasure is not absolute. Visit Narvik may, among other things, be legally obliged to store certain personal information even if you request that it be deleted.
